Your Personal Data

Who is responsible for your data

Aera Verlag GmbH will be what is known as the ‘Controller’ of the personal data you provide to us. This means that we will be responsible for your personal data. We collect and process personal data in the sense of the General Data Protection Regulation and the Federal Data Protection Law (Bundesdatenschutzgesetz). Aera Verlag GmbH (Heisterbacher Str. 240, 53332 Bornheim) is legally responsible as the data controller, and can be contacted on 0049 2233 808870.

What data we collect

During the application process, we ask you for a variety of personal data:
 
  • Name, address, photograph, date of birth, nationality, visa status and contact details
  • Employment history, including current salary and referees’ contact details
  • Qualifications
  • Criminal records check
  • Passport scan
Why we need your data

We need your personal data in order to:
  • Select the most suitable applicants for the vacancy
  • Ascertain the appropriate salary spine point for the successful candidate
  • Ascertain whether a candidate has the right to work within the EU
  • Identify other possible vacancies for which the applicant would be suited
  • Ensure that we fulfil the best practice for safeguarding children
  • If you are appointed, provide this basic data to our Human Resources Department to form the basis of your personnel file
We will not store or process any personal data from you we do not need in order to fulfil these purposes. The legal basis for the collection and processing is Article 6 Clause 1 (a) of the GDPR in cases where an explicit consent for the processing of the data has been made, and Article 6 Clauses1 (b) and 1 (f) of the GDPR otherwise.

What we do with your data

All the personal data we process is processed by our staff in Germany. These staff may also process data whilst outside of Germany but within the European Union or another country offers a comparable adequate level of data protection. For the purposes of IT hosting and maintenance, this information is located on servers within the European Union.

We do not grant third parties access to your personal data unless we are legally compelled to do so. The only exceptions to this rule are the other companies in the St. George’s Group (currently Aera Verlag München GmbH and Aera Verlag Duisburg GmbH). Since certain administrative responsibilities within the St. George’s Group are conducted by particularly qualified employees at the Munich, Cologne and Duisburg sites, the data processing can, in some cases, be conducted by an employee of a St. George’s company, who technically is not an employee of the company with whom you have a contractual relationship. All employees of St. George’s Schools are bound by the same duties, and as such there will be no negative impact on our high standards of data protection. There are contractual arrangements between the St. George’s Schools to guarantee that data protection regulations are observed.

If you are not appointed, your data will be deleted within three months of the position for which you applied being filled, unless you opt to be part of our talent pool. You can choose to be deleted from our talent pool at any time by contacting recruitment@stgeorgesschool.com. All applications will be deleted at most 12 months after receipt. If you are appointed, your data will be held for longer in line with our duties under German law; the details of this retention schedule will be provided upon appointment to the post, and can additionally be requested from recruitment@stgeorgesschool.com at any time. For all employees, German tax law mandates us to retain certain key documentation for a period of ten years.

Your rights

You have the right to be informed by the data controller about your personal data, as well as the right to correction or deletion or the restriction of the processing of personal data. You also have the right to object to the processing of personal data. To do so, please contact recruitment@stgeorgesschool.com.

If you have given consent to your data being processed, you have the right to fully or partially revoke this consent at any time.

If you wish to raise a complaint on how we have handled your personal data, you can contact our Data Protection Officer who will investigate the matter. You can contact this individual by email at dataprotection@stgeorgesschool.com.

If you believe we are processing your personal data not in accordance with the law you can complain to the relevant regional authority, the Landesdatenbeauftragterfür Datenschutzund InformationsfreiheitNordrhein-Westfalen. Additionally, if you live within the EU but outside of North-Rhine-Westphalia, you can instead complain to the data protection authority responsible for your place of residence.
 

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Without this data, it would, in some cases, be technically impossible to deliver or display the contents of the software. In addition, processing this data is absolutely necessary under security aspects, in particular for access, input, transfer, and storage control. Furthermore, this anonymous information can be used for statistical purposes and for optimizing services and technology. In addition, the log files can be checked and analyzed retrospectively when unlawful use of the software is suspected. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. Generally, data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp of the access to the software is collected. The scope of this log process does not exceed the common log scope of any other site on the web. These access logs are stored for a period of up to 7 days. There is no right to object to this.

Error logs

So-called error logs are generated for the purpose of identifying and fixing bugs. This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected. These error logs are stored for a period of up to 7 days. There is no right to object to this.

Use of cookies

So-called cookies are used on parts of this recruitment website. They are small text files which are stored on the device with which you access this recruitment website. As a general rule, cookies serve the purpose of ensuring secure access to a website (“absolutely necessary”), implementing certain functionalities such as standard-language settings (“functional”), improving the user experience or the performance of the website (“performance”), or placing targeted advertisements (“marketing”). On this recruitment website, we generally use only cookies that are absolutely necessary, functional or performance-related, in particular for implementing certain default settings such as language, for identifying the job advertising channel, or for analyzing the performance of a job advert via which a user accessed this recruitment website. The use of cookies is absolutely necessary for providing our services and thus for the performance of the contract (article 6 (1) b) of the GDPR). Rights of data subjects

If Personio SE & Co. KG as the controller processes personal data, you as the data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and the purpose of the processing, in particular the right of access (article 15 of the GDPR) and the rights to rectification (article 16 of the GDPR), erasure (article 17 of the GDPR), restriction of processing (article 18 of the GDPR), and data portability (article 20 of the GDPR), as well as the right to object (article 21 of the GDPR). If the personal data is processed with your consent, you have the right to withdraw this consent under article 7 III of the GDPR. Concluding provisions

Personio reserves the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the services offered, for example when new services are introduced. In this case, the new data privacy statement applies to any later visit of this recruitment website or any later job application.
